Submission Instructions for Authors


Please follow this link to submit your camera-ready papers:


The authors of accepted papers will soon be notified by email with a login to

the above ftp site.


Final camera-ready paper and signed copyright form are due by November 6th.

Both these files should be uploaded on the ftp site above.


Authors are limited to 10 pages for the final version of their papers. However, up to two additional pages may be purchased for $100/page if needed. The fee for extra pages can be paid along with registration.

Formatting Instructions for Authors


Papers should be formatted in the IEEE two column Conference style. Instructions for that style are available here in Microsoft doc format and in PDF. A LaTex style file is located here in a zip file. The IEEE Copyright form can be found here.

The PDF, however you produce it, must have embedded fonts to be compatible with IEEE Xplore formatting.



PDF Requirements


When you generate your PDF file with PDF distiller please change the settings to insure your paper meets IEEE PDF specifications. Basic PDF distiller settings MUST be changed to:


- Optimized,

- Acrobat 4.0 compatibility,

- ALL graphics at least 300 dpi resolution (higher if preferred),

- ALL fonts MUST be embedded and subset,

- Postscript settings DO NOT override distiller settings,

- Page size is 612.0 x 792.0 points (8.5" x 11").



If you're using latex for your formatting, you can use the Computer Modern (default) or times (\usepackage{times}) fonts if you use the following:


dvips -f -Pcmz < file.dvi >




dvips -f -Ppdf -G0 < file.dvi >


That should get you to a .ps file that has the right type1 fonts (Never use type3 bitmapped fonts!). Now you need to convert it to a pdf that embeds those fonts. The following command should work:


ps2pdf14 -dPDFSETTINGS=/prepress -dEmbedAllFonts=true


If you're using pdflatex to produce a pdf file directly, please check that it is configured properly to embed all fonts in the resulting pdf file. You may need to contact your latex installation guru for this... You can check the embedded status of the fonts as described below.


If you end up with a pdf file where some fonts are not embedded, you might be able to get back to an embedded state by using acrobat to export the pdf file to postscript, and then use the ps2pdf14 command above to convert back to pdf, but this time with all fonts embedded.



IMPORTANT: Authors must check their final PDF files before submission to verify that all fonts have been properly embedded and subset. Some font manufacturers now flag their fonts to not embed. These fonts must be avoided. You can use Acrobat or pdffonts (linux program) to check whether all the fonts in your PDF are embedded fonts.



To check whether fonts are embedded in Acrobat:


- Open the file open in Adobe Acrobat.

- Choose File>Document Info>Fonts.

- In the window that opens, choose List All Fonts and you should see a table of fonts.

- Verify that all entries in the Type column are either Type 1 or TrueType fonts.

- In the Used Font column, you should see "Embedded Subset" for all fonts.

- Select OK to close the font window.

- From the View menu, choose Use Local Fonts to turn this option off (the check mark should disappear).

- Page through your PDF file to visually inspect each page as it would appear on another computer without the same fonts as yours.

- Print a copy of your file and verify that everything prints as expected.



To check whether fonts are embedded using pdffonts: use the linux program pdffonts and check that all fonts are Type1, and that all fonts have a "yes" in the "emb" (embedded) and "sub" (subsetted) columns.

Detailed Submission Instructions

Please make sure that your paper satisfies all the below mentioned requirements before submission.


- The paper must have an abstract of a maximum of 300 words and must be submitted by 11:59pm EDT on July 24, 2009 (no extensions).

- You will not be allowed to submit a full paper without submitting an abstract first. Full papers must be submitted by 11:59pm EDT on July 31, 2009 (no extensions).

- The paper must be original material that has not been previously published in another conference or journal, nor is currently under review by another conference or journal. Note that you may submit material presented previously at a workshop without copyrighted proceedings.

- Your submission is limited to twenty (20) 8.5"x11" double spaced, single column pages, using 10pt or larger font, including abstract, main text, figures, tables, references, appendices, etc. Papers that grossly exceed this limit may be returned without review. Please make sure you leave enough margin (roughly one inch) on both sides of the text so that it prints correctly on an A4 size paper as well.

- Papers are to be submitted for double-blind review. Author names as well as hints of identity are to be removed from the submitted paper.

- In addition, do not omit references to provide anonymity, as this leaves the reviewer unable to grasp the context. Instead, if you reference your own work, you need to do it in third person, as if you were referencing someone else's research.

- Your paper must be formatted in such a way that it is clear to understand (including plots and diagrams) with a black and white print-out.

- Please number the pages.

- The paper must be submitted in PDF format. We cannot accept any other format, and we must be able to print the document just as we receive it. We strongly suggest that you use only the four widely-used printer fonts: Times, Helvetica, Courier and Symbol.

- Guidelines on Conflict of Interest: When you submit your work, you will be asked to create a list of people with whom you have a conflict of interest, which includes the following persons: your Ph.D. advisor and your Ph.D. students; family relations by blood or marriage (if they might be potential reviewers); persons with whom you have collaborated over the last four years, which includes co-authors on an accepted / rejected / pending research paper and co-PIs on an accepted / rejected / pending grant. You may exclude service collaborations like serving on a program committee or editorial board, but feel free to list others with whom you believe you have a conflict of interest.
